There is no single price per garment, and any supplier quoting one before seeing your artwork and quantity is guessing. Five variables move the number. Fabric and GSM is the largest, and the least visible on a quote: a 120 GSM and a 160 GSM oxford shirt are both an oxford shirt on paper. Branding method is priced differently by each technique, embroidery by stitch count, screen printing per colour, DTF by print area. Quantity spreads fixed setup across the run. Garment complexity adds cutting and sewing time through pockets, panels and linings. Finally, who you buy from: many suppliers buy garments in and add a margin over a factory price. Ask every supplier to state GSM, method and quantity in writing so quotes are comparable.

Why Two Quotes for the Same Shirt Differ by Thirty Percent

It is almost never margin. Uniform quotes diverge because the two suppliers are quoting different garments while using the same words. An oxford shirt at 120 GSM and an oxford shirt at 160 GSM are both an oxford shirt on a quote sheet, and one will outlast the other by a year.

The fix is to make quotes comparable before you compare them. Specify the same fabric weight, the same branding method and the same quantity to every supplier, and ask each to state those in writing. A supplier who will not put GSM on paper is not quoting the same thing as one who will.

The Costs That Do Not Appear on the Quote

Setup charged again on reorders. Embroidery digitising and screen setup are one time jobs per logo per size. Ask in writing whether a repeat order at the same size reuses the existing file. It should.

Replacing wrong sizes. On a hundred piece order, fifteen garments in the wrong size costs far more than the size set that would have prevented it.

Fabric no longer available at reorder. If the cloth or shade is discontinued, your next intake looks different and you are replacing rather than topping up. Confirm reorder availability before the first order, not after.

Replacement cycle. A cheaper garment that fails in eight months is not cheaper than one that lasts two years. Judge cost per year of service, not cost per piece.

How to Brief for an Accurate Quote

Most quotes are delayed or wrong because of missing information rather than complexity. Four things are usually enough to price a job properly.

  • The roles and working conditions. An office team, a kitchen and a site crew need three specifications even within one company.
  • Quantity and the split by role. Quantity moves unit price more than any other variable.
  • Your logo, ideally vector. AI, EPS, PDF, SVG or CDR. It determines which branding method is viable.
  • Any deadline or certification requirement. Both change the specification, and both are cheaper to plan for than to fix.
