Six Decisions to Make Before You Order

Most uniform orders go wrong for one of six reasons, and every one of them is settled before anything is cut. Work through these in order when deciding how to choose uniforms for your team and the quote you receive will be comparable, accurate and unlikely to change later.

1. Fabric and weight

Decide the blend and the GSM together. Cotton breathes, polyester holds shape and colour through hot washing, and the ratio decides which. Ask every supplier to state GSM in writing, because without it two quotes cannot be compared.

2. Branding method

Embroidery for a permanent professional finish, screen printing for large simple runs, DTF for small orders and complex artwork, sublimation for sports kit. The method changes both the price and the minimum order.

3. Quantity and MOQ

Minimums differ by method, not by supplier goodwill. Ours start at 10 pieces for embroidery and 100 for screen printing. Order slightly above your headcount so new starters are covered from stock.

4. Sizing

Never order from a headcount spreadsheet alone. Request a size set, let staff try them on, then confirm quantities. This single step prevents most reorders and most complaints.

5. Reorder plan

Uniforms are not a one off purchase. Confirm the fabric and colour will still be available in six months, and that your logo file is kept on record so a repeat order does not restart setup.

6. Compliance, if it applies

For flame resistant or high visibility roles, certification comes first and comfort second. The garment, the thread and the logo placement all affect whether the certification still holds.

What Actually Drives the Price

Uniform quotes vary widely for the same garment description, and it is almost never a margin difference. Five variables account for most of the gap between one price and another.

  • Fabric and GSM. The single biggest factor. A 120 GSM shirt and a 160 GSM shirt are both an oxford shirt on a quote sheet.
  • Branding method and size. Embroidery is priced by stitch count, screen printing by number of colours, DTF by print area.
  • Quantity. Setup costs spread across the run, so the per unit price falls sharply as volume rises.
  • Garment complexity. Pockets, panels, piping, zips and linings all add cutting and sewing time.
  • Who you are buying from. A reseller adds a margin on top of a factory price. Buying direct from the manufacturer removes that layer entirely.

Questions Worth Asking Any Uniform Supplier

  • What is the GSM of this fabric, in writing?
  • Do you manufacture, or do you buy in and rebrand?
  • What is the minimum order for the branding method you are quoting?
  • Is digitising or screen setup charged once, or on every reorder?
  • Will this exact fabric and colour still be available for a repeat order?
  • For FR garments, is the protection inherent to the fibre or a treatment, and how many washes is it rated for?
  • Can I see a physical sample or size set before committing?

A supplier who answers all seven without hedging is worth working with. One who cannot answer the first two is reselling.

Getting sizes right first time

  • Request a size set and let staff try garments on before you confirm quantities

  • Wash inside out to protect printed and embroidered branding
  • Avoid bleach on coloured poly cotton, it weakens fibres and dulls colour
  • Do not iron directly over a printed logo
  • Lower wash temperatures extend garment life considerably
  • For FR workwear, follow the manufacturer wash instructions exactly, since incorrect laundering can reduce protection
